Three Mistakes That Still Show Up On Orders
Why this checklist exists
In my first year of writing purchase orders for our chemical-blending plant (2018), I bought 50 feet of EPDM rubber hose to transfer mineral oil. It was in stock, and it was cheaper than the hose the plant manager had actually asked for. Nobody told me EPDM is not a good choice for petroleum oils. The inner tube swelled during the first week of service, and about $400 worth of product ended up on the floor before someone traced the smell.
That was mistake No. 1. I have now been handling industrial hose and polymer component orders for seven years, and I have documented nine significant material-selection mistakes, totaling roughly $18,500 in wasted budget. None of them were caused by a defective product. All of them were caused by picking a material based on what it looked like instead of what it was rated for.
I keep a checklist now. This is that checklist, in the order I actually run it.
When To Use This List
Use it when a purchase involves any of the following:
- An industrial hose replacement where the original specification sheet is missing or unreadable
- A tank reline or new HDPE plastic liner installation with a fixed maintenance window
- Plastic jugs or containers ordered for a new product, a new fill temperature, or a new supplier
- Any change, really. Change is where material mistakes hide.
If you are reordering a known item, the check takes five minutes. If you are specifying something new or switching suppliers, do all five steps.
Step 1: Write Down The Service Conditions Before Looking At Products
Write these down before you open a product page:
- The exact fluid name, chemical family, and concentration
- Fluid temperature during normal running and during cleaning
- Working pressure, plus surge pressure and the pressure used in cleaning or test cycles
- The outside environment, meaning UV, rain, salt air, abrasion, or chemical splash
The place I lose this is cleaning. The process fluid runs at 25°C, so it is tempting to choose a hose that handles the fluid at 25°C. But the line is cleaned with hot 5% nitric acid at 75°C. If the hose liner is not rated for that, it fails during cleaning, not during production. That exact scenario, process chemical fine, cleaning chemical not, is why we replaced two hoses in 2023 and lost two production days.
Once the service conditions are written down, every later decision has a reference point. If a supplier asks a question you cannot answer, you know where the gap is.
Step 2: Know Whether It Is Actually HDPE, Polypropylene, Or Something Else
Let us answer a question we get regularly: is polypropylene plastic? Yes. Polypropylene (PP) is a thermoplastic polymer and carries Resin Identification Code #5. HDPE is a thermoplastic too and carries code #2. Both are plastics. The similarity ends there.
- HDPE jugs and HDPE liners handle cold and impact better. They are common for water, many industrial liquids, and ambient-temperature storage. But HDPE starts to lose rigidity above roughly 70°C, especially under load. Hot-filled pallets can deform in the bottom rows.
- PP jugs generally tolerate higher fill temperatures, often up to about 100°C. PP is stiffer and has good fatigue resistance, but it is more brittle at low temperatures and more sensitive to UV if it is not stabilized.
The idea that plastic is plastic is not a technical fact. It is a leftover from an era when there were fewer polymer grades and less demanding applications. Today, two jugs with identical shape and color can be completely different materials with different temperature limits and different chemical resistance.
Here is how I learned that. In September 2023, we bought 2,500 plastic jugs from a new supplier to save $0.18 per jug. Our internal request said plastic jugs, and the supplier shipped resin code #2, HDPE. That would have been fine for most of our products, but this particular line is filled at 75°C and the filled pallets are stretch-wrapped while still warm. Warm HDPE jugs under the weight of the jugs above them deformed. We ended up repacking about 600 jugs, scrapping product, and apologizing to a customer whose order ran late. The correct spec was polypropylene, not just plastic.
Our purchase orders no longer say plastic jugs. They say PP, resin code 5, or HDPE, resin code 2, plus the maximum fill temperature. It takes ten seconds to type and saves weeks of headaches.
Step 3: Specify From The Inside Out
The same logic applies to hoses, liners, and containers: start with the surface that touches the chemical.
For a Trelleborg industrial hose, the inner tube does the main chemical compatibility work. The cover protects against abrasion, weather, and external splash, but a tough cover does not help if the product is attacking the tube. Work through the hose in this order:
- Tube material and its chemical compatibility at the maximum service temperature
- Reinforcement layers and their pressure rating
- Cover material and its resistance to the outside environment
For an HDPE plastic liner, the same inside-out thinking applies. Do not choose a liner simply because it says HDPE. Temperature changes everything. A solvent that sits harmlessly in HDPE at 20°C can permeate through it far more quickly at 50°C. If the liner is protecting a concrete or steel tank, permeation is a leak, just a slower one.
For containers, the wall material is the obvious part. The part people forget is the connection. The gasket between a hose end and a tank flange can be incompatible even when the hose and the liner are correct. We now include gaskets and fittings in the same specification review.
Step 4: Make The Manufacturer Show You The Data
Any reputable supplier can produce technical documentation. For rubber and hose terminology, ISO standards are widely used. Plastic abbreviations follow ISO 1043-1, and resin identification codes are standardized under ASTM D7611. Chemical transfer hoses sold in Europe are commonly manufactured and tested to EN 12115. A product that carries no standard, no marking, and no datasheet is a product you cannot verify.
When we specify a Trelleborg rubber hose, we ask for the full datasheet: tube and cover material, reinforcement type, temperature range, pressure rating, bend radius, and applicable test standard. When the application is unusual, we send the service conditions from Step 1 to technical support and let them confirm the hose matches. That has caught two mismatches in the past year alone.
The same applies to liners and jugs. If a supplier cannot show you the technical data, the material might still be fine, but you cannot prove it. I no longer accept the phrase about the same. About the same is how $18,500 of my employer's budget disappeared.
Step 5: Pay For A Delivery Date, Not For A Delivery Guess
This is the step that gets cut when someone says we do not pay rush fees. I have mixed feelings about rush fees. On one hand, they feel like a tax on someone else's poor planning. On the other hand, after enough shutdowns, I see them as buying certainty, not just speed.
In March 2024, a replacement hose was not stocked locally. One non-specialist vendor quoted standard delivery in 8 to 12 days and said it would probably arrive sooner. Probably. We had a scheduled maintenance window starting in six days. The regional distributor confirmed a three-day delivery from stock and charged us $240 extra for freight and priority picking. Total price difference was about $500. If the hose had not arrived by day six, we would have paid for contractors, an empty tank, a stopped line, and a cleanup crew. That would have been about $4,800 before we counted lost production. We paid the $500 and the hose arrived on day three.
At least, that has been my experience in deadline-critical maintenance work. If the order is routine and the plant is running, I would compare delivery prices more aggressively. But once a shutdown date is fixed, an uncertain cheap delivery is not cheaper. It is just a risk with a lower invoice.
One warning: urgency is not a reason to skip the earlier steps. When time is short, the temptation is to take anything that fits. A wrong hose that arrives on time only moves the failure into the middle of your schedule.
Three Mistakes That Still Show Up On Orders
- Same size and same color means same material. A black hose cover can be NBR, EPDM, CR, CSM, or several other elastomers. Color is not a material specification.
- Polypropylene and HDPE are interchangeable. They are both plastics, but they behave differently at temperature, under impact, and with certain chemicals. Choose based on the service conditions, not on the word plastic.
- The existing application never changes. Cleaning chemicals change, formulations change, fill temperatures change, suppliers change. Every one of those changes is a reason to re-run this checklist.
Dodged a bullet last April when we double-checked the liner grade before a tank reline. One small substitution would have saved $800 and almost certainly cost us a tank lining failure within the year. The checklist is not complicated. It just forces me to answer the questions I used to skip.
